Red flags

I'm not sure exactly when I sent out the pitch, that day I blasted out as many emails and web contacts that I could.  Some Vendor websites only allow you to send a web message through the website.

Candace,

Thanks for sending over the information. This is a unique system, and I could see how substantial, simultaneous heating/cooling could occur if not properly configured.

A few initial questions:

1. Is there some level of building automation/controls that is a part of the HVAC system? 

Maybe an old pneumatic system if no recent upgrades have occurred?

If this is unknown, we can assist with determining the level of controls during the investigation.

2. Is there a specific reason you are looking at the system replacement, or is it just known that the HVAC is at the end of its life? 

3.Are there any cracks in the gas-fired heat exchangers (leaking exhaust fumes), or is there a specific comfort      issue we are trying to solve?

4. If there are comfort issues in the building, should I include time to conduct a building occupant ‘survey’, or do you have a handle on any problem areas already?

5. Do you have drawings for any tenant improvements or retrofits in the building?

6. At this point, I am planning the fee proposal for a site investigation to look at and evaluate the existing systems. I would then assemble a recommendations report for any critical updates required, as well as a plan moving forward for a full  system update. Further engineering/permit documents would be additional, and be dependent on the final recommendations (if needed)

Is that in line with your expectations?

I should be able to get the Initial Site Investigation and Recommendations Report fee proposal to you today.

Greg — thanks, and yes, that plan sounds right.

Quick answers to your questions:

1. Building controls: unknown. There may be an older pneumatic system — please include verification of existing controls during the investigation.
2. Reason for replacement: primarily end of useful life plus intermittent comfort issues in a few zones.
3. Heat exchangers: no known cracks or reported CO/exhaust issues to date — please check as part of the site work.
4. Occupant survey: yes, please include time to conduct an occupant survey; we don’t have a complete picture of problem areas.
5. Drawings: The orignal as-built sketches , but they dont show tenant improvments since 1985— I will send what we have after this note.
6. Scope/fees: your approach (site investigation → recommendations report → further engineering/permits if needed) is exactly what we expect. Please send your Initial Site Investigation and Recommendations Report fee proposal today as you indicated.

Thank you for following up. I appreciate your willingness to assist us with the City Centre Condo Association regarding our business professional building, which currently has an outdated HVAC system. We are looking to engage an engineering firm to conduct an assessment and develop effective upgrade plans. We have recently consulted several HVAC service providers about our current system, and to move forward with our findings for the Association/Owners, I need to present an engineering firm estimate at the upcoming board meeting.

Attached are the building plans for 2525 Blueberry that may assist you in preparing a proposal for modernizing our HVAC system. Here are some updates from our consultations:

• Moore Heating has submitted a  proposal and was the quickest to respond
• Diamond Heating is on board, and      very helpful but they recommended starting with an engineer and have not provided a proposal.
• Superior Mechanical, who holds our maintenance contract, is also on board, but they are currently too busy.      I’ve attached an old email from them for reference.

Could you please provide an estimate of the costs associated with conducting an assessment of our building’s HVAC system? Additionally, I would appreciate a breakdown of what the assessment will entail and the anticipated timelines.

Let me know if there is any more information I may provide.
